At ProVision Studio, we are committed to customer satisfaction and providing high-quality audio and video equipment and services. This Refund Policy outlines the terms and conditions for refunds, returns, and cancellations for our various services including equipment sales, equipment rentals, videography services, and podcast studio setup consultations.
Please read this policy carefully before making a purchase or booking a service. By completing a transaction with ProVision Studio, you acknowledge that you have read, understood, and agree to this Refund Policy.
1. Equipment Sales
1.1 Return Period
We offer a 14-day return period for most new equipment purchased from ProVision Studio. The return period begins on the date of delivery or pickup. To be eligible for a return:
- The item must be unused and in the same condition as received
- The item must be in its original packaging with all accessories, manuals, and documentation
- Proof of purchase (receipt or order confirmation) must be provided
- The item must not show signs of installation, mounting, or modification
1.2 Non-Returnable Items
The following items are not eligible for return:
- Used or opened equipment (except in cases of defect or error)
- Custom-ordered or special-order items
- Clearance, closeout, or final sale items (clearly marked as such)
- Equipment purchased more than 14 days ago
- Software, media storage devices, or consumables that have been opened
- Items damaged due to misuse, neglect, or accidents
1.3 Refund Process for Sales
Once we receive your returned item and verify it meets our return criteria, we will process your refund within 5-7 business days. Refunds will be issued to the original payment method. Please note:
- Original shipping costs are non-refundable
- Return shipping costs are the customer's responsibility unless the return is due to our error or a defective product
- A restocking fee of 15% may apply to returns of high-value items (over $1,000 CAD)
- Refunds may take an additional 3-10 business days to appear in your account depending on your financial institution
1.4 Defective or Damaged Items
If you receive defective or damaged equipment, please contact us immediately (within 48 hours of receipt). We will:
- Arrange for return shipping at no cost to you
- Provide a replacement item (if available) or full refund
- Waive any restocking fees
- Cover all return shipping costs
Please provide photographs of the damage and retain all original packaging for defective or damaged items.
1.5 Wrong Item Shipped
If we ship you the wrong item due to our error, we will:
- Provide a prepaid return label for the incorrect item
- Ship the correct item at no additional charge
- Refund any price difference if applicable
- Expedite delivery of the correct item when possible
2. Equipment Rentals
2.1 Rental Cancellations
Cancellation policies for equipment rentals vary based on advance notice:
- More than 7 days before rental start date: Full refund of rental fees and security deposit
- 3-7 days before rental start date: 50% refund of rental fees; full refund of security deposit
- Less than 3 days before rental start date: No refund of rental fees; full refund of security deposit if equipment not picked up
- Same-day cancellation or no-show: No refund of rental fees or security deposit
2.2 Early Returns
If you return rental equipment earlier than the agreed rental period:
- No refund will be provided for unused rental days
- The security deposit will be refunded in full if equipment is returned in satisfactory condition
- All rental fees for the originally booked period remain due
2.3 Security Deposit Refunds
Security deposits for rental equipment will be refunded within 3-5 business days after equipment is returned and inspected, provided:
- Equipment is returned on time
- Equipment is returned in the same condition as received (accounting for normal wear and tear)
- No damage, loss, or missing accessories are identified
- All components and documentation are returned
If damage is identified, repair or replacement costs will be deducted from the security deposit. If costs exceed the deposit, you will be billed for the difference.
2.4 Rental Equipment Malfunctions
If rental equipment malfunctions during your rental period due to no fault of your own:
- Contact us immediately for troubleshooting assistance
- We will provide replacement equipment when available at no additional charge
- If replacement is not available, we will provide a prorated refund for the affected rental period
- No refund will be provided for malfunctions caused by misuse or user error
3. Videography Services
3.1 Service Cancellations by Client
Cancellation of videography services is subject to the following terms:
- More than 30 days before scheduled date: Full refund of deposit; no cancellation fee
- 15-30 days before scheduled date: 50% refund of deposit
- 7-14 days before scheduled date: 25% refund of deposit
- Less than 7 days before scheduled date: No refund of deposit; full service fee may be charged
3.2 Rescheduling Videography Services
We understand that circumstances change. You may reschedule your videography service:
- More than 14 days before scheduled date: One free reschedule; no fees
- 7-14 days before scheduled date: $100 CAD rescheduling fee
- Less than 7 days before scheduled date: $250 CAD rescheduling fee; subject to availability
Rescheduled dates are subject to availability. If we cannot accommodate your requested new date, standard cancellation terms apply.
3.3 Service Cancellations by ProVision Studio
In rare circumstances, we may need to cancel or reschedule your videography service due to:
- Equipment failure or unavailability
- Videographer illness or emergency
- Severe weather or safety concerns
- Force majeure events
If we cancel your service, you will receive:
- Full refund of all payments made
- Priority rebooking at your preferred alternative date
- 10% discount on rebooked service as compensation for inconvenience
3.4 Dissatisfaction with Videography Services
We strive for complete client satisfaction. If you are dissatisfied with our videography services:
- Contact us within 7 days of receiving final deliverables
- Provide specific feedback about issues or concerns
- We will work with you to address concerns through reasonable revisions (within scope agreed in service contract)
- Partial refunds may be considered on a case-by-case basis for legitimate quality concerns
Please note that creative differences or changes in personal preference are not grounds for refunds. All creative direction and expectations should be communicated before and during the shoot.
4. Podcast Studio Setup Services
4.1 Consultation Refunds
Initial consultation fees for podcast studio setup are non-refundable once the consultation has been conducted. However:
- You may reschedule a consultation once without penalty (with at least 48 hours notice)
- If you cancel more than 48 hours before a scheduled consultation, consultation fees will be refunded
- Consultation fees can be applied toward full studio setup services if booked within 30 days
4.2 Setup Service Cancellations
If you cancel podcast studio setup services after signing a service agreement:
- Before work begins: Refund of all payments minus consultation fees and 25% planning fee
- After work begins: Payment for work completed; refund of remaining balance for work not performed
- After 50% completion: No refunds; remaining balance due upon cancellation
4.3 Equipment Purchased as Part of Setup
Equipment purchased as part of a podcast studio setup package:
- Is subject to the same return policy as standard equipment sales
- Cannot be returned if already installed or configured
- May be exchanged for alternative equipment before installation with approval
- Is eligible for warranty coverage according to manufacturer terms
5. Refund Request Process
To request a refund or return, please follow these steps:

- Provide Information: Include your order number, contact information, reason for return/refund, and any relevant documentation
- Await Authorization: We will review your request and provide a return authorization (RA) number if approved
- Return Items: Ship returned items with RA number clearly marked on the package
- Inspection: We will inspect returned items and process your refund accordingly
- Receive Refund: Refunds are processed within 5-7 business days after approval
Important: Do not return items without first obtaining a return authorization (RA) number. Unauthorized returns may be refused or delayed.
6. Exchanges
We accept exchanges for different models or alternative equipment within 14 days of purchase, subject to:
- Availability of requested exchange item
- Item being in new, unused condition with original packaging
- Price difference being paid or refunded as applicable
- Exchange item being of equal or greater value (no cash refunds for lower-value exchanges)
7. Warranty Coverage
This Refund Policy is separate from manufacturer warranties. Equipment purchased from ProVision Studio is covered by applicable manufacturer warranties. We will assist with warranty claims and facilitate repairs or replacements according to manufacturer terms.
ProVision Studio offers a 30-day satisfaction guarantee on equipment purchases. If you experience any defects or issues within 30 days of purchase, we will work with you to resolve the problem through repair, replacement, or refund.
8. Special Circumstances
We understand that unexpected situations arise. In cases of genuine hardship or extenuating circumstances, we may consider exceptions to this policy on a case-by-case basis. Please contact us to discuss your specific situation.
9. Dispute Resolution
If you have concerns about a refund decision or dispute the outcome of a refund request, please contact our management team. We are committed to fair resolution of all customer concerns and will work with you to find a mutually acceptable solution.
10. Changes to This Policy
ProVision Studio reserves the right to modify this Refund Policy at any time. Changes will be effective immediately upon posting to our website. The "Last Updated" date at the top of this policy indicates when it was last revised. Transactions completed before policy changes remain subject to the policy in effect at the time of transaction.
